Access to Outgoing Folder

All of the reports generated by Milligan School Data will be distributed to the district through an “Outgoing” folder in Google Docs. The nature of some of these reports could include sensitive information such as financial information, and criticisms/praise of the district and superintendent. In the comments of survey results, staff or students may be named. Hence, it is important to control who has access to this folder, vis a vis these reports. The superintendent will be granted access to the district’s “Outgoing” folder by default. Access can be granted to other parties but that request must come in writing or via e-mail from either the superintendent OR the current school board chair.


File Storage in Outgoing Folder

The intention of the Outgoing folder is for the district to receive files from Milligan School data. Milligan School Data makes no promises that those files will be stored in that folder for any length of time. Periodically and without notice, Milligan School Data may delete files in the Outgoing folder in order to conserve server space and keep storage costs to a minimum. You are strongly encouraged to develop a system internal to your organization for downloading and archiving files.


Data Entry and scorecard timing

Upon enrolling with Milligan School data, we will ask you to provide us with your school board meeting schedule (e.g. “Second Tuesday of each month”) Milligan School Data will commit to generating your scorecard at least two (2) business days before your scheduled board meeting IF AND ONLY IF all of the data needed for those scorecards is entered into the data entry sheets at least five (5) business days before your scheduled board meeting. If data is entered in fewer than five business days before your scheduled board meeting, we will still make every effort to produce your scorecards in time for your board meeting, but make no promises to that effect.


Survey confidentiality

Milligan School Data is committed to keeping all of the survey results confidential. As such, we will not distribute the results of your surveys or include them in comparative reports if there are fewer than five (5) responses. Furthermore, we will not answer any questions that we deem could threaten that confidentiality. For example, you may not ask us to provide you with the answers that are associated with a particular comment. You may not ask us to give information on when or in what order survey answers were provided, etc.


Ad Hoc Analysis

One of the services Milligan School Data offers is ad hoc data analysis and data services. This service includes, but is not limited to:


  • Custom reports using the data we collect

  • Data analysis of additional data that you send to us

  • Attending board meetings, either in person or virtually, to present or explain any data or reports (plus driving time 1-way).

  • Consulting with strategic planning either in person or virtually (again, plus driving time 1-way).

  • Developing, collecting, and analyzing additional surveys not part of Milligan School Data’s standard battery of surveys (Teacher, Parent, Student, Superintendent Evaluation).


Every school system is entitled to 10 hours of free ad hoc analysis for each school year that they have paid for a subscription (July-June). Hours beyond those 10 free hours will be billed at $80/hour. Milligan School Data will absolutely inform the school system when they have reached their 10 hour limit and will not start billing additional hours without the express consent of the school system. Unused hours do NOT carry over to subsequent school years.
